Planning a corporate Pilates session? The room and participant brief matter as much as the exercise plan. Before booking, HR should confirm the available floor area, session format, mats or props, clothing expectations, accessibility needs and how employees can ask questions privately.

For Cherrie’s workplace format, the practical starting point is usually a beginner-friendly, mat-based movement session. It is a group wellness activity, not an individual physiotherapy assessment or personal rehabilitation programme.

1. Confirm the purpose and format

Decide whether the session is intended as a team activity, a short movement break, an employee wellness-day component or an introduction to Pilates. The answer affects the duration, room layout and level of explanation.

Confirm in advance whether the session is:

  • Mat-based, standing, chair-supported or mixed
  • Suitable for complete beginners
  • Delivered in one group or repeated for smaller groups
  • Designed for a conference room, studio, outdoor area or home-office setting

Clear expectations help employees decide whether the activity is suitable for them.

2. Prepare enough clear floor space

Measure the usable area after removing tables, loose chairs, cables and presentation equipment. Each person should have enough room to change position without touching furniture or another participant.

Check the following before the facilitator arrives:

  • The floor is level, clean and not slippery
  • Walkways, doors and emergency exits remain clear
  • The room has comfortable ventilation and temperature
  • Lighting is sufficient for participants to see instructions
  • Employees can enter, leave and reach water easily
  • There is a private option for anyone who needs to speak to the facilitator

If the room is too small for floor work, ask whether the session can be adapted to standing or chair-supported movement.

3. Decide what equipment is actually needed

A basic corporate mat Pilates session may need only:

  • One exercise mat per participant
  • A small amount of extra floor space around each mat
  • Optional cushions or towels for comfort
  • Water and a place to store bags safely
  • A speaker or microphone only if the group or room requires it

Do not assume that a Reformer or other studio equipment is necessary. Cherrie’s corporate format is mat-based and can be adapted around the venue. If an employer wants equipment-based Pilates, confirm the equipment, transport, setup, supervision and venue suitability separately.

4. Share a simple participant brief

The invitation should tell employees what to expect. Include the session length, clothing guidance, whether floor work is involved, whether mats are provided and what they should do if they have pain, an injury, pregnancy-related considerations or another health concern.

Employees should not need to disclose diagnoses in front of colleagues. Invite them to contact the facilitator or organiser privately before the session if they need an adjustment or are unsure whether to participate.

5. Plan inclusive movement options

A mixed workplace group may include beginners, people who are not comfortable kneeling or lying on the floor, and employees with different mobility or balance confidence. Ask the facilitator how movements can be modified before promoting the event.

Useful options may include standing, seated or smaller-range alternatives. Modifications should be presented as normal choices, not as a public judgement about someone’s fitness.

6. Keep the session within its wellness scope

A group Pilates session can provide guided movement and a shared workplace experience. It should not be described as diagnosing employees, treating individual conditions, assessing workplace injuries or guaranteeing prevention of pain.

If an employee has new, worsening or concerning symptoms, the appropriate next step may be individual medical or physiotherapy advice rather than continuing with a group class.

HR booking checklist

Before confirming the booking, ask:

  • What is the session purpose and expected group size?
  • Is the format mat-based, standing, chair-supported or mixed?
  • Is the class suitable for complete beginners?
  • How much clear floor space is available?
  • Are mats and props supplied, or should the organiser provide them?
  • What should employees wear and bring?
  • How can employees request a private modification?
  • What accessibility or venue constraints should the facilitator know about?
  • Is the event being described accurately as wellness education rather than clinical treatment?
  • What follow-up resource or contact should employees receive afterwards?
